How to set up lunch breaks, holidays and leave?

It is possible that staff members are not available at certain times of the day or at certain times of the year. This is the case, for example, with lunch breaks, holidays or temporary leave (e.g. for commitments or illness). In order to prevent clients from booking at times when staff are not available, it is necessary to add blocks in the diary.

How to create a lunch break

To add a recurring lunch break, which is repeated in the same way for each working day, you must follow these steps:

  • Access the "Team Member" area from the Treatwell Pro main menu;

  • Click on the name of the desired employee from the staff list;

  • From the "Rotas" box, click on the "Manage" button;

  • Choose a day of the week and go to "Add Break";

  • Set the desired time and click on "Finish and Save" to make the changes active.

The same procedure must be repeated for each day of the week on which the lunch break is scheduled.

To eliminate lunch breaks, however, just click on the red bin icon next to the previously set time. Finally, confirm the deletion by clicking on the "Finish and save" button.

If, on the other hand, the lunch break does not have fixed times but can vary during the working days, it is possible to set it directly from the Agenda through daily modification:

  • Click on the team member's name indicated on the first line of the relative column;

  • choose the "Lunch Break" option from the menu;

  • indicate the time slot (from… to…) and any notes;

  • click on “Save” to confirm.

How to create holidays and leave

To set up non-recurring breaks, valid only for a time slot, for one day or for several specific days, such as holidays or leave, the procedure is as follows:

  • Access the "Team Member" area from the side menu;

  • Click on the name of the desired employee from the staff list;

  • In the "Time off" box, press the "Create" button;

  • Set the day or click on "Add more days" to enter a longer period ("from... to...");

  • Enter the time slot in which the employee is not present;

  • Click on "Save" to make the break active.

A daily break can also be set from the Calendar. This function is useful for quickly making changes to an employee's schedule for a particular day. The steps in this case are as follows:

  • Click on the name of the employee indicated in the Calendar on the first line of the relevant column;

  • choose the "Vacation" option from the menu;

  • indicate the time slot (from... to...) and any notes;

  • click on "Save" to confirm.

Please Note: the same quick menu as in the calendar can be used in the case of sick leave, by choosing the relevant option from the menu and indicating the time slot in which the employee is absent.
