How to create a marketing campaign?

The creation of effective promotional campaigns is a great way to ensure greater customer loyalty. From the Marketing section of Treatwell Pro, you can easily create targeted and customised SMS and e-mail campaigns, e.g. discounts for new or long-lost clients, birthday gifts for loyal clients or welcome promotions for newer ones.

Please Note: In order to be able to send your communication, you must ensure that you have entered the details of the location's privacy officer. This is the person responsible for handling clients' privacy requests.

The Marketing area of Treatwell Pro

In the Marketing section of the management software, which can be accessed directly from the side menu, you will find:

  • The list of campaigns already created and saved: for each campaign, you can immediately see whether it is a draft or whether it has already been sent. On the right-hand side of each row are buttons for editing and deleting campaigns.

  • A filter that allows you to display only campaigns created in a specific time period (e.g. 1 March 2020 to 1 June 2020), by setting a time frame from the calendar.

  • A general search bar, from which you can search for campaigns by name.

  • The 'Create New Marketing' button to create a new SMS or email to send to clients.

Under the 'Create New Communication' button, the number of emails and SMS messages still available is always visible, as well as the quick 'Recharge Credit' link to the SMS/email package purchase page.

Marketing templates

Clicking on the "Create New Marketing" button will open another window called "New Marketing", with a number of templates available, including:

  1. Empty template ("Start from scratch"): for creating completely customised campaigns.

  2. Lost client: with parameters already set for this type of campaign

  3. Happy Birthday

How to create a new Marketing communication

After clicking on "Create new communication" and choosing the template, the creation page will open. You can choose between "Email" or "SMS" by clicking on the circle next to the desired option.

Marketing Email

The main information you need to enter to create a new communication to be sent by email is as follows:

  1. Enter the name in the campaign bar: this is the name under which the template is saved in the software and which will appear in the list in the "Marketing" area;

  2. Filters: allow you to identify the recipients of your campaign, depending on the type of message you wish to send. The number of recipients (visible under 'Filters') varies automatically according to the filters chosen.

  3. Sender: the name of the salon;

  4. Subject: the reason for the Marketing in brief.

The content of the email can be created by dragging the objects in the box on the right into the area. It will be possible to insert text, images, buttons and other objects, change colours and fonts or insert HTML code or dividers . On the pre-set templates, some blocks are already present, but can still be customised or replaced, customising the e-mail according to your own preferences.

Once the communication has been created, it can be saved as a draft for sending at a later date or forwarded directly to the recipients by clicking on 'Send preview' and following the required steps until confirmation.

Marketing SMS communication

The information required to create a communication to be sent by text message is:

  1. Enter campaign name in the bar: this is the name under which the template is saved in the software and which will appear in the list in the "Marketing" area;

  2. Filters: allow you to identify the recipients of the campaign, depending on the type of message you wish to send. The number of recipients (visible under 'Filters') varies automatically according to the filters chosen.

  3. Sender: the name of the recipient that the client will see when receiving the sms (by clicking on "Customise" it can be changed);

  4. the text box on which to write the sms (a preview will be shown on the side).

After creating the message, it can be saved as a draft for sending at a later time or sent immediately to the recipients.

By clicking on 'Send preview' you will be able to send a test message to your own number to check that everything is correct. To do this, enter the number complete with country code (e.g. it +39).

Filters

By clicking on the "Add filter" button, you can add one or more filters that will automatically select the recipients of your campaign, based on the information recorded in the client cards (in the client list area). For example, if the gender and age of each client have been correctly indicated in the cards, you can use the filters to create targeted campaigns for a specific gender or age group.

Among the filters are:

  • Exclude already contacted clients: to avoid sending new campaigns to the same clients within a specific time period (one week, one month, etc.)

  • Age: to send Marketing to clients in a specific age range (18-24, 25-34, etc...)

  • Gender

  • Occupation

  • Group of clients

  • Filters by expenditure ('"spent more than'" or '"spent less than'")'

  • Types of services or treatments performed, never performed or filtered by time since last appointment

  • Filters according to frequency of appointment (e.g. ""has not been in"", ""has made fewer/more than a few visits"", etc.)"

  • Filters according to birthday messages, welcome messages for new clients or according to the discount card used

The filters can be used at the same time, however it is best to avoid using conflicting options: the system will not be able to find the recipients of the campaign in these cases (e.g. setting the filter '"Age"' to 18-24 and the filter '"Occupation"' to "Retired").
