How to create a marketing campaign?

Creating effective promotional campaigns is a great tool to ensure greater customer loyalty. From the Marketing section of Treatwell Pro, you can easily create targeted and personalised SMS and email campaigns, such as discounts to attract new or long-lost customers, birthday gifts for your most loyal customers, or welcome promotions for your newest ones.

Please Note: in order to be able to send communications, you must ensure that you have entered the details of the location's privacy officer (the person responsible for handling customer privacy requests): to do it, go to Profile/Settings and enter the required details in the 'Privacy & Data Management' box. Finally, click on the 'Save' button to register the changes.

The Marketing area of ​​Treatwell Pro

In the "Marketing" section of the management system, accessible directly from the side menu, you can find:

  • The list of already created and saved campaigns. For each campaign, you can immediately see whether it is a draft or if it has already been sent. On the right side of each row, there are buttons for editing and deleting campaigns.

  • A period filter that allows you to view only the campaigns created within a certain period of time by setting a time frame.

  • A general search bar where you can search for campaigns by name.

  • The "Create New Marketing Campaign" button to create a new SMS or email to be sent to customers.

The number of emails and SMS still available is always visible under the "Create New Marketing Campaign" button, as well as the quick "Top Up Credit" link which takes you to the page where you can purchase SMS and email packages.

Marketing templates

Clicking on the "Create New Marketing Campaign" button will open another window called "New Marketing Campaign" which has some templates available, including:

  1. Empty template ("Start from scratch") - to create fully customised campaigns.

  2. Lost customer - with parameters already set for this type of campaign

  3. Happy Birthday

How to create a new marketing campaign

After clicking on "Create New Marketing Campaign" and choosing the template, the creation page will open. Here you can choose whether the campaign should be via Email or SMS by clicking on the circle next to the desired option.

Email communication

The main information to be entered to create a new email marketing campaign is as follows:

  1. Enter the name of your campaign: this is the name under which the campaign is saved in the software and which will appear in the list in the "Marketing" area;

  2. Filters: allow you to identify the recipients of the campaign, depending on the type of message you want to send. The number of recipients (visible under "Filters") varies automatically according to the filters chosen;

  3. Sender: the name of the salon;

  4. Subject: the reason for the communication.

The content of the email can be created by dragging the objects present in the box on the right into the area. You will be able to insert text, images, buttons and other objects, change colours and fonts, or insert HTML code or dividers. On pre-set templates, some text or images are already present, but they can still be customised or replaced, personalising the email according to your preferences.

Once the communication has been created, it can be saved as a draft for sending at a later time or forwarded directly to the recipients by clicking on "Send Preview" and following the required steps until confirmed.

SMS communication

The information required for the creation of a communication to be sent via text message is:

  1. Enter the name of your campaign: this is the name under which the template is saved in the software and which will appear in the list in the "Marketing" area;

  2. Filters: allow you to identify the recipients of the campaign, depending on the type of message you want to send. The number of recipients (visible under "Filters") varies automatically according to the filters chosen.

  3. Sender: the name of the account holder that the customer will see upon receipt of the text message (it can be changed by clicking on "Personalise");

  4. The text box in which to write the text message (a preview will be shown alongside).

Once you've created your message, you can save it as a draft for sending later, or send it to recipients immediately.

By clicking on "Send Preview", it is possible to send a test message to your number to verify that everything is correct. To do this, insert the phone number including the country's prefix (e.g. +44 for UK).

Please note that you may have to wait a long time for a custom sender to be requested and activated (up to 3-4 weeks). We therefore recommend that you set 'Treatwell' as the sender for your communications. Go to Profile/Settings/Notifications and type 'Treatwell' in the 'Sender Name' box. Click 'Save' to make the change active.

Filters

By clicking on the "Add filter" button, it is possible to add one or more filters that will automatically select the recipients of a campaign, based on the information recorded in the customer files (in the Client List area). For example, if each customer's gender and age are correctly indicated in the cards, you can use the filters to create targeted campaigns for a specific gender or according to the age group.

Among the filters available are:

  • Exclude clients already contacted by: to avoid sending new campaigns to the same customers within a specific period of time (one week, one month, etc...);

  • Age: send a communication to customers in a specific age group (18-24, 25-34 etc...);

  • Sex;

  • Occupation;

  • Client group;

  • Filters by spend ("Has spent more than" or "Has spent less than");

  • Types of services or treatments performed, never performed, or filtered by time since the last appointment;

  • Filters by appointment frequency (e.g. Hasn't been in", "Has made less than a few visits", "Has made more than a few visits" etc.)"

  • Filters dedicated to birthday messages, welcome messages for new customers or based on the discount card used

Filters can be used simultaneously, however, it is advised to avoid using conflicting options. In these cases, the system will not be able to find the recipients of the campaign (e.g. setting the "Age" filter to "18-24" and the "Employment" filter to "Retired").
